CareClinq is a booking platform — we connect patients with licensed doctors for in-person appointments. We are not a hospital, we do not provide medical advice, and we do not store medical records.

Important: The symptom you share (e.g. "fever", "skin problem") is used only to find the right specialist. It is not a medical record, not shared with insurers, and not used for any profiling purpose.

🎯 Why we collect it

We collect your information for these specific purposes only:

To book and confirm your appointment

Your name, phone, and chosen slot are used to create and confirm your booking with the clinic.

To match you with the right specialist

Your symptom keyword and age help us show available doctors in the appropriate specialty.

To send you booking updates on WhatsApp

Confirmation, reminders, and any changes to your appointment are sent to your WhatsApp number.

🔄
To remember you for future bookings

Returning patients don't need to re-enter their name and age. We use your phone number to recognise you.

We do not use your data for advertising profiling, selling insurance, recommending products, or any purpose beyond the above.

🔒 How we protect your data

We use industry-standard security measures across every layer of our system:

Data stays in India. Our database is hosted on Supabase Mumbai region. Your personal data is never transferred outside India, in compliance with the DPDP Act 2023.

🤝 Data sharing

We do not sell, rent, or trade your personal data. Ever.

Your information is shared only in these limited circumstances:

With the clinic / doctor you are booking

Your name, phone number, age, and appointment time are shared with the clinic so they can prepare for your visit.

⚙️
With our technology providers (processors only)

Supabase (database), Make.com (automation), Interakt (WhatsApp delivery) — strictly to operate the booking service. They cannot use your data for their own purposes.

⚖️
When required by law

If compelled by a valid court order or government authority under Indian law. We will notify you unless prohibited from doing so.

We will never share your health information with insurance companies, pharmaceutical companies, advertisers, or marketing agencies — regardless of any commercial arrangement.

You may request deletion of your patient profile at any time. Booking records may be retained for the 2-year audit period even after profile deletion, but will be anonymised where possible.

Your rights

Under the Digital Personal Data Protection Act 2023 (DPDP Act) and the IT Act 2000, you have the following rights:

You can request a copy of all personal data we hold about you.

Right to correction

If your name, age, or phone number is incorrect, you can ask us to update it.

Right to deletion ("right to be forgotten")

You can request deletion of your patient profile. We will process this within 7 business days.

Right to withdraw consent

You can stop using CareClinq at any time. Send us a WhatsApp message or email to opt out of all future communications.

Right to grievance redressal

If you believe your data has been mishandled, contact our Grievance Officer (details below). We will respond within 30 days.

👶 Children's privacy

CareClinq is intended for use by adults (18+) or by parents and guardians booking on behalf of children.

If you are booking an appointment for a child, you confirm that you are their parent or legal guardian and consent to the collection of their appointment details (name and age only) on their behalf.

We do not knowingly collect personal data directly from children under 18 without parental consent.

🔄 Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we make significant changes, we will:

If you have booked with us in the past 6 months, we will send you a WhatsApp message about material changes.

🏥 What CareClinq is

CareClinq Health Services is an appointment booking platform. We connect patients with licensed doctors for in-person consultations in Vijayawada and surrounding areas.

We are not a medical provider. We do not offer medical advice, diagnosis, or treatment. All clinical decisions are made solely by the registered doctors you consult.

✅ Who can use CareClinq

  • Anyone aged 18 or above
  • Parents or guardians booking on behalf of a minor
  • Individuals booking on behalf of elderly family members

By using CareClinq you confirm you have the authority to share the patient's details and consent to the booking.

📅 Booking & Appointments

  • Bookings are confirmed instantly via WhatsApp
  • A booking confirmation message is your only receipt
  • Slots are allocated on a first-come, first-served basis
  • CareClinq does not guarantee same-day appointments
  • Doctor availability may change due to emergencies — we will notify you via WhatsApp if your slot is affected

🚫 What you must not do

  • Provide false name, age, or contact details
  • Book slots and repeatedly not show up without cancelling
  • Use CareClinq for emergencies — call 108 for medical emergencies
  • Attempt to contact doctors outside the clinic through CareClinq
  • Share your booking confirmation with others to attend in your place

⚠️ Medical disclaimer

CareClinq facilitates booking only. We are not responsible for the quality of medical care provided during consultations. Any medical advice, prescription, or treatment decision is solely the responsibility of the treating doctor and patient.

In case of a medical emergency, call 108 immediately. Do not use WhatsApp to report emergencies.

🔄 Changes to these terms

We may update these terms as our service grows. We will notify active patients via WhatsApp of any significant changes. Continued use of CareClinq after changes means you accept the updated terms.

⚖️ Governing law

These terms are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of courts in Vijayawada, Andhra Pradesh.

↩️ Refund Policy

Refund Policy

Simple and fair. We currently operate on a free booking model — payment at clinic only. Last updated: May 2026.

💡 Current model — no online payment

CareClinq currently does not collect any payment online. Consultation fees are paid directly at the clinic after your appointment.

Since we do not charge patients for bookings, there is nothing to refund for the booking itself.

❌ Cancelled appointments

  • If you cancel your appointment before the slot time — no charge applies (free booking)
  • If the clinic cancels due to doctor unavailability — you will be offered an alternative slot via WhatsApp at no charge
  • Consultation fees paid at the clinic are subject to the clinic's own refund policy

🔮 When we introduce online payments

When CareClinq introduces online payment for bookings, the following refund rules will apply:

  • Cancelled 2+ hours before slot: Full refund within 5-7 business days
  • Cancelled less than 2 hours before: 50% refund
  • No show (no cancellation): No refund
  • Doctor cancelled / clinic unavailable: Full refund within 3 business days
